Handling OTA Overbooking Without Panic
OTA overbooking handling with a per-type allowance; a booking that lands in a full type waits on your chart as a card your desk can move.
On a busy night, the last couple of bookings can cross on their way in, whatever any channel manager promises. Instead of pretending that never happens, you get a clear way to deal with it.
Set an allowance
For each room type, decide how many rooms beyond your count the channels may sell. A small property might keep it at zero; a busy city property confident about no-shows might allow two or three.
What happens to a booking in a full type?
Guest, price and payer are all recorded, but no room is assigned. It shows as a card in that type's lane on your chart, and it also appears among arrivals and reservations. Nothing is hidden.
What can your desk do?
- Drag it into a room freed by a cancellation.
- Upgrade it by a category if nothing frees up.
- On the day, move the guest to a sister hotel through Central Reservations (CRS).
Each option is a single action, recorded with the name of the person who took it.
